A handoff succeeds when the next person can act without reconstructing the entire conversation. An AI-generated recap may be readable yet omit the one unresolved decision that matters. Ask for a working handoff, not a history of everything discussed.
Lead with the current state
State the objective, what is verified, what remains incomplete, and the next useful action. Keep observations separate from assumptions. “The supplier said it shipped” is different from a confirmed delivery record.
For an illustrative customer issue, include the request reference, checks already performed, current blocker, and owner of the next step. If no one is assigned, say so. Do not create a person or deadline to make the document look finished.
Preserve the route back to evidence
Link to the relevant note, message, or supplied document section. A short handoff can be trustworthy when the evidence is easy to inspect. A long handoff without sources forces the recipient to repeat the work.
Record uncertain external actions carefully. If a system timed out after submission, write that the outcome needs checking. Do not tell the next person to repeat the action until the target state has been inspected.
Include the reason behind a consequential choice
Explain why a particular option was selected when that affects continuation. Omit abandoned ideas that have no bearing on the next step. The goal is enough context to avoid repeating a meaningful mistake, not a transcript.
Review the handoff with a simple test: could someone unfamiliar with the conversation identify the next action and the evidence needed to take it? If not, revise the structure.
Golub Bot can support individual handoff preparation from selected material. The guides turn this into practical prompts. Shared task-system updates and team routing belong in a separate custom integration scope.
