Turn a successful one-off task into a repeatable checklist
Document the inputs, output, stop conditions, and review steps of a working Bot task before considering a schedule.
Repeatability starts with a task that works once. Before asking an assistant to run something every day, capture exactly what made the first result useful. This guide produces a reusable checklist; it does not create or promise a scheduled integration.
Prepare the input
Bring the original request, approved result, corrections, and source list. Mark which details change each time: date window, customer, document version, or output destination. Keep stable rules separate from those variables.
Run the workflow
Ask for a checklist with input validation, execution steps, review, and stop conditions. Make the assistant identify missing access or unclear success criteria. Do not let the checklist assume a connection that was not used in the first task.
Prompt to copy
Turn this completed task into a reusable checklist: [request and result].
Separate fixed rules from inputs I must provide each time.
Define success, failure, and when to ask for clarification.
Include source freshness checks and a final review step.
Do not schedule anything or add account connections.
List the extra requirements for a future scheduled version separately.
Review a worked example
An illustrative weekly competitor check compares the same approved pages. The variable is the review period; the stable rule is to report material product changes with sources. A page-access failure must be reported as a failed check, not “no changes.”
Check the proposed steps against what actually happened. Remove imagined tools and add any manual intervention that was essential.
Look for steps that depended on your judgment the first time. A checklist that hides those decisions will fail when the next example differs. Write the decision rule if it is known; otherwise retain a review checkpoint. A future automation should stop at that checkpoint until the missing authority or information is supplied.
Use it again
Run the checklist manually on a new period. Only then assess scheduling support, time zones, duplicate notifications, and a pause mechanism in the available environment. Explore Bot or discuss recurring integration needs once the basic job is proven.
